Who is responsible

Solomons Roofing is responsible for the personal information it collects through this roofing quotation website. Contact info@solomonsroofing.co.za for privacy enquiries or requests relating to your information.

Information we collect

The quotation form collects your name, email address, contact number, property suburb or area, property type, roofing service required, roof type if known, description of the issue and preferred contact method. We also record your confirmation that we may use this information to respond.

You may optionally upload a roof photograph. Please include only what is relevant to the roof and avoid people, identity documents, vehicle number plates and private interiors. We may receive additional details when you correspond with us.

The hosting provider may process technical request information such as IP addresses, timestamps, browser details and security logs. The form uses a hashed IP-based rate-limit record and a temporary session to protect submissions.

Purpose and lawful processing

We use your details to respond to your enquiry, understand the property and roofing issue, arrange an assessment, prepare a quotation and communicate about work you request. Information may also be needed to keep appropriate business records, resolve disputes or meet legal obligations.

Processing is limited to what is relevant and necessary. Depending on the circumstances, the basis is your consent, steps requested before concluding a contract, performance of a contract, a legal obligation or a legitimate interest in operating and securing the service, subject to your rights under POPIA. The form checkbox relates to your enquiry and does not sign you up for marketing.

Required fields help us assess and respond to your enquiry. If you prefer not to provide them through the form, you may email us; we may still need sufficient details to assist.

Photographs and website security

Uploaded photographs are checked for permitted type and size, decoded and re-encoded before being attached to the enquiry email. Re-encoding removes embedded file metadata. The form does not create a public photo gallery or permanent upload folder. Temporary upload files are handled by PHP and removed after processing.

Form protections include server-side validation, a session token, a spam trap, basic rate limiting and restricted image uploads. Access to enquiry records should be limited to people who need them to handle your request. No website or email system can guarantee absolute security. If a security compromise affects your information, applicable notification requirements will be followed.

Service providers and sharing

Website hosting and email providers process information as needed to operate the website and deliver enquiries. Relevant details may be shared with people assisting with an assessment or agreed roofing work, professional advisers or authorities where required by law. Information is not sold.

Only information needed for the purpose should be shared, with appropriate confidentiality and security arrangements. Where a service provider processes information outside South Africa, applicable POPIA cross-border transfer requirements must be met.

Retention

Enquiry emails and related information are kept only as long as reasonably necessary to respond, prepare and follow up on a quotation, manage agreed work, or meet legal and recordkeeping requirements. Unsuccessful or no-longer-needed enquiries should be reviewed and securely deleted; records needed for a legal obligation or dispute may need to be retained longer.

Temporary form sessions have a 30-minute application expiry, and the session cookie normally expires when the browser closes. Rate-limit entries are used for one hour and stale files are cleared during subsequent submissions. Mailbox and hosting backups may retain copies until their normal retention cycles expire. Cookies and analytics

This site does not include advertising trackers or analytics scripts. A necessary session cookie is used on the contact form to protect submissions and show validation or delivery messages. The cookie does not support advertising or cross-site profiling.

Fonts, photographs, styles and scripts are served locally. External links, including the Information Regulator’s website, have their own privacy practices. If non-essential analytics or cookies are added later, this policy and any required consent controls must be updated.

Your rights and requests

Subject to applicable law, you may ask whether we hold information about you, request access, correct inaccurate or incomplete information, object to certain processing, withdraw consent where processing relies on it, or request deletion when retention is no longer justified. Withdrawal does not affect processing that was lawful before withdrawal.

Email info@solomonsroofing.co.za with a clear description of your request. We may need proportionate proof of identity before disclosing or changing personal information. Please do not send identity documents unless a secure verification method has been agreed. Where a legal exception prevents a request from being fulfilled, we will explain the reason.

Complaints and changes

Please contact us first if you have a concern. You also have the right to approach the Information Regulator of South Africa. Our POPIA Notice explains these rights further.

This policy may be updated when the website or information practices change. The effective date above identifies the current version.
