How Solomons Roofing approaches personal information under South Africa’s Protection of Personal Information Act.

Purpose of this notice
This notice explains the processing of personal information provided to Solomons Roofing through website enquiries and related communications, in terms of the Protection of Personal Information Act 4 of 2013 (POPIA). Read it together with our Privacy Policy.
Information and purpose
Information may include your name, email address, contact number, property suburb, property type, roof details, description of the work, preferred contact method and optional roof photographs. Technical security information and records of correspondence may also be processed.
The purpose is to respond to enquiries, assess roofing needs, arrange access, prepare quotations, communicate about requested work and keep necessary business records. Required form information is needed to deal meaningfully with your request. A photograph is optional.
Information is generally collected directly from you. If you enquire on behalf of a homeowner, tenant or organisation, share only information you are authorised to provide and make the relevant people aware of this notice.
Grounds for processing
We process relevant information for specified purposes on an applicable lawful basis: consent, requested pre-contractual steps, contractual performance, legal obligations or legitimate interests, subject to POPIA’s conditions. We do not use quotation consent as permission for unrelated marketing. Your request may be limited if essential information is not provided.
How information may be shared
Information may be accessed by people handling the enquiry, agreed roofing work or business administration, and by hosting and email providers as necessary to provide their services. Professional advisers or authorities may receive information when there is a legitimate need or legal requirement.
Sharing must be limited to the purpose, with suitable safeguards for service providers. Personal information is not sold. Where processing involves another country, POPIA’s requirements for cross-border transfers apply.
Security and retention
The website uses input validation, anti-spam measures, temporary sessions and restricted photo processing. Photographs are re-encoded and emailed with the enquiry rather than stored as public files. Appropriate access controls and secure hosting and email arrangements are also needed to protect information.
Records are retained for the time reasonably needed for an enquiry, quotation, agreed work or an applicable legal purpose, then should be securely deleted or de-identified. Your rights
Subject to POPIA and applicable exceptions, you may:
- Ask whether personal information about you is held and request access.
- Request correction of inaccurate, incomplete or misleading information.
- Request deletion or destruction of information that is unlawfully held or no longer authorised for retention.
- Object to qualifying processing on reasonable grounds.
- Withdraw consent for processing that relies on consent.
- Complain to the Information Regulator about an alleged interference with your information rights.
There are no automated credit, eligibility or similar decisions made by this quotation form.
Make an information request
Email info@solomonsroofing.co.za with “Personal information request” in the subject line and explain the information or action concerned. We may request proportionate identity verification and any details needed to locate the relevant record.
Requests will be considered under applicable requirements, including relevant PAIA procedures where these apply to access to records. You will be told if further information or a prescribed form is needed, or if a lawful limitation applies.
